Privacy Notice

1. Who we are

Quotealy is operated by Quotealy Inc. (the "Seller", "we", "us", or "our"). For the purposes of data protection law, the Seller is the data controller for personal data processed through the Service at quotealy.com.

2. Personal data we collect

  • Account data: name, email address, password (stored hashed), business name, logo.
  • Customer/quote data you enter: client names, client emails, project titles, line items, prices, signatures, and PDFs you generate.
  • Voice recordings you record in the app are sent to our AI provider to transcribe and turn into draft quotes; we do not retain the raw audio after the draft is generated.
  • Support messages you send us.
  • Usage and device data: IP address, browser/device identifiers, pages visited, and basic event logs used for security and product improvement.
  • Billing data: handled by Stripe, our payment processor. We receive a customer ID, subscription status, and last-4/brand of payment method but not full card details.

3. Why we use your data and the legal basis

  • Provide the Service (account creation, quote/invoice generation, delivery to your clients) — performance of a contract.
  • Process payments and manage subscriptions via Stripe — performance of a contract.
  • Security and fraud prevention, debugging, abuse handling — legitimate interests in keeping the Service safe.
  • Product improvement and analytics on aggregated usage — legitimate interests.
  • Customer support when you contact us — performance of a contract / legitimate interests.
  • Transactional emails (receipts, password reset, quote delivery) — performance of a contract. Marketing emails (if any) — consent, with an unsubscribe link in every message.

4. Who we share data with

  • Stripe, Inc. — our payment processor. Stripe processes card and bank transactions and, where applicable, calculates and collects sales tax, VAT, or GST. See Stripe's privacy notice at stripe.com/privacy.
  • Infrastructure providers (hosting, database, file storage, email delivery, error monitoring) acting as our processors.
  • AI providers we use to transcribe voice memos and generate draft quotes.
  • Professional advisers (legal, accounting) when needed.
  • Authorities where required by law, court order, or to protect our rights.

5. International transfers

Some of our processors are located outside your country (including the United States and the European Economic Area). Where applicable law requires it, transfers are protected by Standard Contractual Clauses or equivalent safeguards.

6. How long we keep data

We keep account and quote data for as long as your account is active. If you cancel and request deletion, we delete or anonymise personal data within 30 days, except where we must retain certain records (e.g. invoices and tax records) to comply with legal obligations.

7. Your rights

Depending on where you live, you may have the right to access, rectify, erase, restrict, or port your personal data, to object to certain processing, or to withdraw consent. You can exercise these rights by emailing support@quotealy.com. We will respond within one month. You also have the right to complain to your local data protection authority.

8. Security

We use appropriate technical and organisational measures to protect your data, including encryption in transit, encrypted storage, role-based access controls, and regular backups. No system is perfectly secure; if we become aware of a breach affecting your personal data, we will notify affected users and authorities as required by law.

9. Cookies

We use a small number of essential cookies and similar technologies to keep you signed in and to remember your preferences. We do not use third-party advertising cookies. If we add analytics or marketing cookies in the future, we will update this notice and ask for your consent where required.

10. Children

The Service is not directed to children under 16, and we do not knowingly collect personal data from them.

11. Changes

We may update this notice from time to time. We will post the new version on this page and update the "Last updated" date above.
